Online Code of Conduct and Communication Policy

Introduction
This document outlines the expected code of conduct and communication policy for all students and tutors involved in A Level Biology tutoring sessions. Adherence to these guidelines ensures a respectful, productive, and safe learning environment for everyone. This policy applies to both online and in-person sessions.

General Conduct

Respect and Professionalism: All participants are expected to treat each other with respect and maintain a professional demeanor at all times. Discrimination, harassment, or offensive language will not be tolerated.

Punctuality: Students and tutors are expected to be punctual for all scheduled sessions. If a delay is unavoidable, please inform the other party as soon as possible.

Preparation: Students should come prepared for each session, having reviewed relevant materials and identified specific areas for discussion. Students should let the tutor know in advance of the session if a particular topic is required, otherwise the tutor may plan the session how they see fit. Tutors will also prepare session content tailored to the student's needs.

Confidentiality: All discussions and shared materials within tutoring sessions are confidential and should not be shared with third parties without explicit consent.

Academic Integrity: Students are expected to uphold academic integrity. Tutors will provide guidance and support but will not complete assignments or coursework for students.

Online Sessions

For initial chats with the tutor, the student's parent or guardian should be present and engage in the discussion if the student is under 18.

Appropriate Environment: Students should ensure they are in a quiet, distraction-free environment for online sessions. For students under the age of 18, a parent or guardian must be present on the premises with the student. Online sessions should not be conducted in bedrooms. Tutors will also ensure a suitable setting.

Technical Requirements: Students are responsible for having a stable internet connection, a working microphone, and a webcam for online sessions. Tutors will ensure their equipment is in working order.

Recording Sessions: Recording of online sessions by either party is strictly prohibited without the explicit written consent of all participants.

Chat and Messaging: Any chat or messaging functions used during online sessions should be for academic purposes only.

Virtual Backgrounds: If using a virtual background, please ensure it is appropriate and professional.

In-Person Sessions

Appropriate Venue: In-person sessions should take place in a mutually agreed upon, safe, and appropriate public or semi-public location. Examples include libraries, community centers, or a designated study area at a school. Private residences are generally not recommended for initial sessions.

Supervision for Minors: For students under the age of 18, a parent or guardian must be present on the premises during in-person sessions if conducted at a private residence, or the session must take place in a public area with adequate supervision.

Safety: Both students and tutors should prioritize personal safety during in-person sessions. Inform a trusted person about the location and duration of the session.

Distractions: Minimize distractions during in-person sessions to ensure focused learning.

Communication Policy

Preferred Communication Channels: All communication outside of scheduled sessions should primarily occur via email or a designated messaging platform provided by the tutoring service.

Response Time: Tutors and students will endeavor to respond to communications within 24 - 48 hours during weekdays.

Appropriate Content: All communications should be professional and directly related to tutoring. Inappropriate or offensive content will not be tolerated.

Emergency Contact: In case of an emergency, direct phone contact may be used.

Feedback: Students and tutors are encouraged to provide constructive feedback to ensure the effectiveness of the tutoring service.

Reporting Concerns

This policy will be reviewed periodically to ensure its continued relevance and effectiveness.

Acknowledgment
By participating in A Level Biology tutoring sessions, all students and tutors agree to abide by the terms outlined in this Online Code of Conduct and Communication Policy.
